What should pass before a Votel migration?

Require evidence that your records, permissions, customer journeys, and billing behave as intended. A successful import alone is not a complete migration. This original acceptance protocol complements our HighLevel-to-Votel migration guide; it does not claim every asset transfers automatically or that these tests have already passed in your account.

Assign an owner, expected result, actual result, evidence location, and pass/fail status to each check. Use fictional records in an isolated workspace first. Keep the existing system available until your release criteria are met.

Data checks

  • Record counts: compare export rows, accepted imports, rejected rows, and duplicates. Explain every difference.
  • Field mapping: check names, email, phone formatting, custom fields, tags, and empty values using representative synthetic records.
  • Consent: confirm opt-out states and channel permissions survive the process before any sending is enabled.
  • Ownership and pipeline: inspect assigned users, stages, and references. Do not infer correct mapping from a matching total count.
  • History: explicitly list conversations, attachments, and other history that did not transfer, and where authorized staff can access it.

Workflow checks

  • Intake: submit one fictional lead and verify exactly one intended record appears.
  • Booking: check timezone, availability, rescheduling, cancellation, and duplicate-booking behavior.
  • AI actions: test expected input, missing information, an out-of-scope request, and a human handoff. Inspect actual records after tool calls.
  • Retries: repeat an input and verify it does not cause an unintended duplicate action.
  • Messaging: keep production sending disabled until sender configuration, consent, recipient routing, and stop conditions are verified.

Access, costs, and rollback

  • Sign in with each intended role and confirm users see only the accounts and actions they should.
  • Document the plan and usage assumptions, then compare a bounded pilot with actual billing.
  • Choose a cutover window, a responsible person, and explicit stop conditions.
  • Keep an untouched export and document how to restore routing to the previous system.
  • Record changes made after export so new leads and updates are reconciled at cutover.

For example, make unexpected messages, incorrect account access, missing consent states, or duplicate charges blocking failures. Set your own numeric tolerances for noncritical data differences and obtain operational sign-off from the responsible owner.

A practical test record

Test ID: CRM-001
Owner: [responsible person]
Environment: [isolated workspace]
Input: fictional contact with custom field and opt-out
Expected: one record, correct field, opt-out preserved
Actual: [record what happened]
Evidence: [private screenshot or log location]
Result: NOT RUN / PASS / FAIL
Retest date and configuration: [fill in]
Release decision: [owner and rationale]

Keep customer data and private logs out of public case studies. Publish only authorized, redacted evidence. A useful future case study should distinguish the baseline, test conditions, observed outcome, limitations, and who verified it.

Next: build a first agent, estimate costs, or review our evidence standards.

Frequently asked questions

Does a completed import mean the migration is finished?

No. Validate field mapping, consent, permissions, workflows, billing, and rollback before enabling live customer traffic.

What if one critical check fails?

Keep the affected workflow out of production, record the issue and owner, then rerun the failed check and related regression checks after fixing it.
